Clinical Trainee Registration Overview

VHA Directive 2003-032 released on June 17, 2003 requires that all trainees who come to VA for their clinical training must be registered using the “New Person” file in VistA. This directive mandates the registration and collection of basic information on clinical trainees electronically.

The policy applies to all clinical trainees (e.g., medical and dental students and residents, associated health trainees, fellows, and any other students) regardless of their length of training, type of appointment, or pay status (i.e., paid directly by VA, paid via disbursement agreement, or without compensation).

Attempts in the past to identify all clinical trainees have been problematic for a variety of reasons, including a lack of a clear policy with respect to registration and standardized data elements.

To make this process easier and more uniform at medical centers, several VistA patches have been released. The patches provide a new menu option with options to print, enter and edit all information to be collected on clinical trainees.
