Community Care External Provider Scheduling

External Provider Scheduling (EPS) enables VA to schedule Veterans faster by booking appointments directly into Community Care Network providers’ scheduling systems. EPS eliminates the need for multiple calls and faxes – making the patient scheduling process easier – and includes the authorization referral number for your convenience.

There is no cost to participate; however, EPS is not automatic. You have to let us know you want to participate. EPS is not required to continue receiving VA referrals, but your participation makes connecting Veterans to the care they need easier.

Our team will work with your office to confirm electronic health record (EHR) systems and integration needs. EPS works with over 150 electronic health records and scheduling systems, making it easier to plug into existing workflows. After you’re set up, you can share the scheduling blocks you want VA to interact with and maintain control of your own scheduling availability.

Frequently Asked Questions

Do I have to sign up for EPS to continue getting referrals from VA?

No. Participation in EPS is completely optional. Providers can continue receiving Veteran referrals for care through their current process. However, EPS offers a streamlined approach that saves time and reduces duplicative work, leaving you more time for patient care.

Can I change appointments VA makes in my calendar?

Yes. Reach out to VA using the contact information in your referral packet if you need to reschedule or cancel an appointment made through EPS. The VA scheduler you connect with will update the appointment information and amend your referral if necessary.

How does EPS handle reminders and notifications for Veterans and community providers?

VA staff deliver appointment details to the Veteran once the appointment is scheduled. Any additional appointment reminders or confirmations should be handled between you and the Veteran.

Can I access Veteran records and medical history within EPS to ensure accurate appointments?

No. VA delivers all Veteran records and medical history within referral authorization packets via your preferred means (e.g., fax, secured email, Veterans Health Information Exchange, HealthShare Referral Manager).

What security measures are in place to protect Veteran confidentiality and sensitive information within EPS?

EPS complies with the Health Insurance Portability and Accountability Act (HIPAA) and the Privacy Act of 1974 to ensure an organizational understanding of best practices that ensure patient privacy and security of patient data.
